When I enter the date of birth I get a minus number.

The engine that runs Fitness Reporter was developed by Filemaker Inc. They have informed us that in putting in the dates of birth of students, four digits must be used for 1980 to 1989. Anything from 1990 and on only needs two digits. It's odd but true. You must now use four digits for students born between 1980 and 1989 in the date of birth field. i.e. 5/17/1989.

Spring comments don’t come in.

Fitness Reporter is a pre and post test program and wants a common testdate in the fall even though you have no scores for the students in the fall.

Go into the fall data entry form, do a find all so that you have all the records. Take out and then put back in a common testdate like 10-1-2004. Next do a "replace testdate in all records" so that the program can recalculate.

Go back into the spring data entry form and do a find all and put the common testdate in again for the spring and do a "replace."

This should bring in all the comments, school name and missing data.

The file is damaged and can’t be opened.

Always quit Fitness Reporter properly; use the quit button in the control main menu window. To recover your data refer to page 30 in your documentation booklet.

Recover Command:

While clicking on the Fitness Reporter runtime application file (Fitness Reporter Pro for Macintosh or Fitness Reporter for Windows) hold down the following keys:

  • Macintosh: Option + Command
  • Windows: Control + Shift keys

In the recovery process, the Filemaker Pro Runtime application does the following:

  1. Creates a new file
  2. Renames the damaged file. It will add the word "old" to the end of the file name.
  3. Gives the repaired file the original name
  4. Checks out the new file to see how it is working. When you are confident it's OK, put the "old" file in the trash.

Lost Data

As all of us learn one way or another to back up our data. I hope you have backed up the data onto disks or the more popular way today backing up onto flash memory cards or Zip disks. To backup files that get to large for a single disk, compression programs like Zip It and Stuffit are used to make the file small enough to fit onto disks. Otherwise flash memory or Zip disk which can hold up to a 100 mb of information is the way to go. Always back up. Sudden power outages or improperly closing the program will cause the files to be damaged.

Moving Data from Home to School

The best way to back up your data and move it from school to home is to use flash memory or Zip Disks. A Zip Disk holds the same amount of information as 100 floppy disk. Since the data files in Fitness Reporter are to big to fit on a floppy disk the flash memory and zip disk is the best way to move data. Flash memory cards require USB ports on both your school and home computer you just plug them in. They are about 1" X 3" long but great for backing up and moving data. The file that has all the current data is "FR-PresC", you could attach and email just this file to your home and then drag the file into the fitness reporter folder. It should ask you if you want to replace the older file in the folder with the newer one.

When I Print I only get one name at the top.

When the print dialog box comes up showing the name of your printer and the number of copies you want there should also be a pull down menu which might be entitled "general". Click on this menu and select "Fitness Reporter" or "Filemaker Pro". The print dialog box should change, click on "records being browsed" instead of “current record” and they will all print out.

Corrupted Table

If the table is corrupted then:

  1. Go onto the hard drive and find the Fitness Reporter folder.
  2. Rename the folder something like Fitness 2003 -2004. Rename only the folder never any of the files in the folder. You are renaming the folder so that you know where your current data is. The file with all your current data is named FR-PresC.
  3. Reinstall from the CD a new Fitness Reporter folder.
  4. Now on your hard drive should be a folder called Fitness Reporter this is the new folder.
  5. Open the  new folder and drag the file "Table.FM" from the new folder to the old renamed folder with your current data in it "Fitness 2003-2004.
  6. It should ask you if you want to replace the old table with the new click OK or replace.
  7. Now open the old "Fitness 2002-2003 folder with your current data and start the program.
  8. When Fitness Reporter is started go into the fall & spring data entry forms and put in the common testdate again so that the program can recalculate using the new table. Note: Fitness Reporter is a pre and post test program and wants a common testdate in the fall even though you have no scores for the students in the fall.
    Go into the "fall data entry form", do a find all so that you have all the records. Take out and then put back in a common testdate like 10-1-2003. Next do a "replace testdate in all records" so that the program can recalculate.

  9. If there is no longer a problem then go back to the hard drive and through away or uninstall the new "Fitness Reporter" folder you reinstalled. You only needed the table from it.

Changing Last Years Data

How do I keep last years fall and spring data?

You use the "tracker program' and bring all the data into that file. Open the Tracker program from the Control main menu and click on the tracker button. In the tracker program go up under "mode" and do a "delete all" to delete all the sample data that came with the program,18 to 27 records. Click on the fall to bring in fall scores and/or spring to bring in spring scores.

Go back to the President's challenge and if you have the exact same kids that you had last year, then you can "promote" and then "take out" all there old scores.

Can I Promote Kids and Delete the ones who have left?

You can delete all the kids who have graduated by finding that grade and under mode menu "delete all".  Example: click "find" button then in the blank data entry form put an 8 to find all 8th graders then under "mode" delete all.

You can now promote last years kids. Example Find the 7th graders change the 7 to an 8 and under mode click on "replace" it will ask you do you want to replace the grade field with a 8 click on replace. Do the same to promote any lower grade to the next grade. Find the grade you want to promote and change the number to the next grade number.

How do I get rid of last years scores? - Removing Past Data:

To get rid of all the data in a field. Do a "find all" so that you have all the records.

In one of the test score fields Example, curl ups take out the number and put nothing in the field.

Go up under mode "replace" it will ask you if you want to replace the field with "" (nothing). Click replace, all the scores will be gone, do this for each test.

The teachers is another story. you need to change  that by hand.

How do I Start Over each year? - Starting over is starting over.

You can reinstall the program and name this years folder "Fitness 2003- 04". If you have put all of last years data into the tracker program you can go into last years folder and find the file that says Track.FM or USR and drag it to this new folder. It will ask you if you want to replace the new Track.FM or USR file with the old one you click OK. If you did not use the tracker.

In the new program you can now go up under file and import records from last years file. You must find last years folder, the file in last years folder is FRPresC.. Before you import open the old file and make sure you do a find all so that all the kids will be imported

When you run "import records" it will ask you to find this file, find it and click on open.

In the Field Mapping window up in the right hand corner is a menu choose "matching names", it is above the words last order, then import

You now have all of last years kids in this years folder. You can now promote and delete old data.

In our 72 school district we ask computer services for a "comma" or "tab deliminated" file with all the kids demographics

Easy Way. The file they prepare for you should have Last name, First name, DOB with 4 digits in the year, Grade, Gender, Period and Teacher.

Take the disk with this file and put it into your machine.

Open up your newly installed Fitnees 2003-04 file.

Delete the sample demo students under "Mode" delete all.

Go under file "import records"

Open the file on the disk.

When the field mapping window comes up make sure the field last name on the left is across from last name on the right. Put a ">" between the two. Do the same thing for First name, DOB, Gender, Grade, Teacher.

When the names of the fields on the left match the fields on the right and there is a ">" between them click on import and in less that 3 minutes you can import all the kids demographic for 500 to 1000 kids.

Finding Scoring over 50th Percentile

Fitness Reporter is a database which means you can do multiple criteria finds in order to get data.

  1. In the data entry form do a find all for the age and gender of the students you want the info on.( ie 10M) On the left it will tell you how many (ie 10m) you have. Write this number down.
  2. In the data entry form do a find for 10 in the age field M in the gender field and then in the percentile field use the symbols pull down menu above the find button an put in the "is greater to or equal to sign and then 50.
  3. Hit the find button and it will show how many records it found for 10M who have reached or are above the 50 percentile for that test item.
  4. Since you know how many total 10M you have and now know how many have reached the 50 percentile you can figure the the percentage or put down the number on the form you need to fill out.
  5. Do this for each age, gender and test item on the test.

Little Things Count

All the standards and percentiles were not coming into the spring data form. The common testdate was put in correctly in both the fall and spring. But in the gender category there was a SPACE right before the "f" in the gender field and that made all the difference.  When the space was removed everything popped right into place.  We couldn't believe that such a little thing made that much difference.

Our newest version of Fitness Reporter is our CD Rom Version 7.1. Previous owners with registration numbers can upgrade for $35 + $10 s/h = $45. Our CD rom version is a hybrid CD. That means when you put it in a Mac it installs on Mac OSX or previous versions. When you put it in a Windows machine running 98/2000 or XP, it installs.
